PDPA and Personal Data Protection

How PERPOS complies with Thailand's Personal Data Protection Act

1) Principles

PERPOS designs its system to comply with Thailand's Personal Data Protection Act (PDPA), following these principles: collect only the data that is necessary, use it only for the stated purposes, obtain consent before processing sensitive data, and give data subjects control over their own data. Customers' work files are used only to process the tasks they request.

2) Data we collect and why

We collect only the data necessary to provide the service: user data, organization data, and files submitted to the system, such as meeting audio and PDFs. This data is used only to process the tasks you request and to improve the service.

3) Data retention and deletion

  • Raw audio files are not stored permanently; they are deleted immediately after processing.
  • Meeting minutes and transcripts are stored temporarily and deleted from our servers within 48 hours.
  • Automated processes delete raw audio files once a job is complete and delete PDFs/transcripts older than 48 hours.
  • Data is stored on Google Cloud with encryption.

4) Customer data is not used to train AI

Customers' files and audio are not used to train any AI model; they are used only to process that specific job.

5) Consent for the meeting bot

Before the meeting bot is used for the first time, the system shows a consent card. The bot “PERPOS Assistant (AI Note-taker)” will join the meeting and record the audio of all participants to produce meeting minutes. By accepting, the user is deemed to confirm that:

  • The user is responsible for informing meeting participants and obtaining their consent under the PDPA.
  • Audio files are deleted immediately after the summary is complete, and only the report is kept, on a temporary basis.

If you do not want the bot to record, simply do not send it the meeting link.

6) Data subject rights

You own the data you enter into the system and have the right to access, correct, or delete your personal data at any time, through your account settings or by contacting our team. PERPOS does not sell or share personal data with third parties without consent, except where required by law.
