Packaged ERP or tailor-made ERP: which fits how your business really works

Packaged ERP vs an ERP built around how you work: pros and limits, what AI adds, and four questions to help you choose the right system for your business.

Many businesses start looking for an ERP when their data begins to scatter. Stock lives in one spreadsheet, quotations in another, approvals run through chat, and management waits for someone to pull the numbers together at the end of every month. The first question that follows is: should we buy a packaged system, or build one around the way we already work?

This article sums up the difference between the two approaches and how to choose the one that fits your business.

How a packaged ERP works

A packaged ERP offers standard modules you pick from a catalog, such as purchasing, inventory, sales and accounting. The upside is a fast start and processes that have already been proven in use.

The catch is that the system is designed for a "typical business". When your process does not match what the system expects, the team usually has to bend its way of working to fit the software, or go back to doing some steps outside the system in spreadsheets and chat.

What makes a tailor-made ERP different

A tailor-made ERP starts by looking at how the organization actually works, then designs the screens, documents and approval steps to match what the team already does. The system adapts to people, not the other way around.

Examples of work that packaged systems often cannot cover fully:

  • Construction contractors need to follow a job from site survey, BOQ and quotation, through purchase requests and supplier price comparison, receiving into stock and issuing materials on site, all the way to comparing budget against actual cost for each project
  • Vacation villas need cash books per bank account with attached payment slips, petty cash, stock of supplies, laundry, and a booking calendar in one place
  • Holding companies need a register of group companies, shareholdings, and consolidated statements that reconcile intercompany transactions on both sides

Forcing work like this into standard modules usually ends with half the data inside the system and the other half outside it.

What AI adds to an ERP

Newer systems use AI to cut data entry and manual compiling, not just to bolt on a chatbot. Practical examples:

  • Bills into the system from a photo: take a picture of a bill and AI breaks it into stock line items or a goods-received document
  • Work summaries and anomaly checks: the system calculates the numbers with rules first, then AI writes them up in plain language, so the figures always come from real data
  • Running tasks by chatting: issue stock, receive goods, record income and expenses, or check room availability, with every change that edits data confirmed by the user first, so nothing happens behind your back

The key point is that AI works on the system's real data and permissions, so every result can be traced back.

Which one should you choose

Try answering these questions:

  1. Is your workflow similar to other businesses in your industry? If so, a packaged system may be enough.
  2. Is important work done outside your current system because it cannot handle it? If so, that is a sign you need a system that adapts to your work.
  3. What reports does management need? If someone combines data from several sources by hand every month, a system with reports designed around your questions helps a lot.
  4. What does your field team use every day? If everyone is already on LINE, a system that takes instructions and sends alerts through LINE is far more likely to actually be used.

Start step by step, without replacing everything

A tailor-made system does not have to cover the whole organization at once. The approach that works is:

  1. Understand the real work: look at the processes and data in use today
  2. Build the system: move the most painful work in first, with screens and approval steps designed around the team
  3. Go live and keep improving: adjust to how the team really uses it, then expand to the next area
