• Record clear audio. Put the phone in the middle of the table or use the room microphone. The clearer the audio, the more accurate the summary
• Say owners' names out loud, for example "Ann will take this and send it by Friday", so the action item is easy to pick up
• Close by repeating the decisions in a few sentences, which helps make the minutes complete
• Read it before sending. AI summarises well, but names and key numbers deserve a second look
